Start with the exact product
Free-text medicine searches can return results that look interchangeable but are not equivalent for procurement. Differences may include brand, strength, dosage form, pack quantity, device or licensed presentation.
For this reason, supplier comparison should begin with a resolved medicine identity and then score supplier results against it.
Compare more than the headline number
- Acquisition price: the amount presented by the supplier for the relevant account and pack.
- Availability: whether the item can actually be supplied in the required quantity.
- Pack quantity: whether the returned result is commercially comparable with the requested pack.
- Basket constraints: minimum order values and channel rules can affect the real choice.
- Reimbursement context: the applicable NHS reference value belongs beside the supplier price, not in place of it.
- Scheme effects: rebates or manufacturer arrangements may alter effective net acquisition cost.
Why comparison needs an audit trail
Supplier catalogues and prices change. A useful procurement record should therefore preserve when the comparison was made and which supplier result was selected. This makes later review possible when a purchasing outcome differs from expectation.
Where automation helps
Automation is especially valuable in repeated tasks: normalising medicine descriptions, matching packs, searching several suppliers concurrently, flagging out-of-stock results and calculating comparable basket totals. It should not conceal uncertainty. Weak or ambiguous product matches should remain visible for review.
PharmShop's comparison model
PharmShop is designed to keep product identity, supplier search result and commercial decision separate but connected. That structure makes it possible to improve matching or pricing logic without losing the original request.
Comparing PSUK, AAH, Alliance and Clarity quotations
A useful wholesaler comparison records the purchasing channel, exact medicine pack, account-specific price, available quantity and time checked. An AAH or PSUK catalogue entry, an Alliance Rx listing, an Alliance OTC record and a Clarity quotation should not be treated as interchangeable evidence. Confirm which authorised channels your practice has connected and what each result actually proves.
The same pack can have different prices under different account terms. A public market price, an indexed list price and a freshly retrieved account quotation should be labelled separately. Use the pack price calculator to compare equivalent quantities only after identity is established.
When the lowest line price is not the lowest order cost
Check required quantity, delivery charges, basket thresholds and eligible scheme terms before moving a line between suppliers. Cascade ordering and basket optimisation explain different ways to organise the choice. Neither justifies filling a basket with stock the practice does not need.
Bring the decision into one workflow
PharmShop is being built to connect medicine identity, reimbursement context, supplier results and purchasing decisions without losing the evidence underneath.
